Training and drill records are the difference between having a procedure and being able to show that it works. They are also the records most often thin, because nobody owns them until an inspection is announced.
Before you start
Have these ready.
- The compliance.manage permission.
- 01
Understand what is recorded automatically
Drills run as TEST-type incidents produce a full record — timeline, delivery evidence, acknowledgements — without anybody writing anything.
This is the strongest evidence you have and it accumulates for free. The only thing missing is the interpretation.
- 02
Add the findings to each drill
Record what the drill tested, what failed and what changed as a result. A record that a drill happened is weak; a record of what it found is strong.
Confirm it workedEvery drill record has at least one finding or an explicit note that none were identified.
- 03
Maintain training records
Training records track who has been trained on what and when. Staff can also see their own training records in the mobile app.
Keep them current for the roles that matter most: anyone who can trigger, anyone who can resolve, and reception.
- 04
Set a drill schedule and keep to it
An irregular drill history is more visible than a sparse one. Set a cadence you can actually maintain and hold it.
- 05
Link records to compliance requirements
Drill and training records are evidence behind compliance requirements. Make the connection explicit rather than leaving it to be inferred.
Troubleshooting
When it does not go to plan.
| Symptom | Usual cause | Fix |
|---|---|---|
| Drill records exist but say nothing useful. | No findings were recorded at the time. | Add a debrief step to your drill procedure. Findings recorded a week later are guesses. |
| Training records are out of date. | No owner. | Assign one. This record does not maintain itself. |
Good to know
Small details that prevent big confusion.
- Drills produce evidence automatically. The interpretation is the part that needs a person.
- A record showing a failure that was then fixed is more credible than an unbroken run of successes.
- Staff can see their own training records in the app, which makes gaps visible to the people who can close them.
